Real Estate Independent Agent

The Cold Lead Graveyard

A real estate agent had access to a goldmine of inbound leads but lacked the consistency to scrape, organize, and call them before they went cold.

1 We Listen

A real estate agent at a large firm had access to a private database of inbound phone leads—people who had expressed interest in buying. But she struggled with consistency. She would get distracted by showings and admin work, failing to log in and pull the new lists. By the time she finally sat down to make the cold calls, it was either too late in the evening to dial, or the leads had already cooled off and gone with another agent.

2 We Audit

We looked at the firm's web portal and her daily routine. The bottleneck wasn't a lack of leads; it was the friction required to process them. We proposed a menu of options: 1) An AI agent to scrape the leads for her, 2) An automation to clean the data into a readable Excel sheet, 3) An AI voice agent to do the initial cold calling, and 4) A summary system to alert her of warm prospects. She realized that implementing all of them would remove the entire top-of-funnel chore, allowing her to focus strictly on closing.

3 We Design

Design an end-to-end lead qualification pipeline that runs entirely in the background. It strings together four distinct micro-automations that act as a digital SDR (Sales Development Rep) team: scraping the firm's database, structuring the contact list, executing the initial cold calls, and filtering only the interested buyers directly into her inbox.

4 We Implement

Data Scraping & Formatting

  • Logs into private firm portal
  • Scrapes newest inbound phone leads
  • Cleans and structures raw data
  • Organizes into readable Excel list

Voice Outreach & Triage

  • Dials every lead on the compiled list
  • Inquires naturally if they need help
  • Summarizes the conversation via AI
  • Emails agent the "Warm Leads" list

The Result

The agent completely outsourced her top-of-funnel friction. She never logs into the portal, never deals with messy data, and never makes a cold dial. She wakes up, checks her email, and only calls people who have actively confirmed to the AI that they are looking to buy.
